How to transcribe a meeting on your Mac, fully offline

This guide shows how to record and transcribe a meeting on your Mac without any of the audio leaving the device, then turn it into searchable notes with action items. It uses Lectern for the worked example.

Before you start

Install Lectern (on this site it is a fully activated donation download) and, for the best accuracy, let it fetch an on-device Whisper model once. After that, transcription runs offline. All audio and transcripts stay on your Mac.

Step by step

1. Choose your engine

On-device Whisper on the Neural Engine gives the strongest accuracy; Apple Speech is instant and also local. Either way, nothing is uploaded.

2. Start recording

Begin the session and glance at the live transcript and level meter to confirm clean audio. Capture is interruption-proof, so a notification or app switch will not lose the recording.

3. Let it summarize

At the end, Lectern generates deterministic notes: a TL;DR, a fuller summary, tags, and action items that carry owners and due dates.

4. Review and assign

Confirm the action items, set owners and dates, and export or share the summary with attendees.

5. Search later

Every session joins a full-text searchable archive. Months later you can search a phrase and jump to the exact audio segment where it was said.

Getting clean audio

  • Reduce background noise where you can; it helps every transcription engine.
  • For remote calls, capture system audio so remote voices are included.
  • Speak one at a time; heavy cross-talk is hard for any model.
